Notes are missing
The order to check things in when a note does not appear in the list.
When a note looks as though it has vanished from the list, it has almost never actually been deleted. Usually it is one of three things: you are signed in with a different account, you are looking at a different workspace, or the recording never started. Work through these in order.
Work through these in order
Check which account you are signed in with
If you have more than one Google or Microsoft account, you may be signed in with one you do not normally use. This happens most often on a company-issued machine where both a work account and a personal account are registered in the browser.
In the app, opening “Settings” from the menu at the bottom left shows which account you are currently signed in with. Look in your inbox for a notification email from Pulse (sent from tharada@the-unchain.com) and compare the address it arrived at. If you are signed in with a different account, sign out and sign in again with the right email address.
Check which workspace you are looking at
You may be viewing a different workspace from the one the notes are saved in. Clicking the workspace name at the bottom left lists the workspaces you belong to. Switch to another one and check whether the notes are there.
Notes stay in the workspace they were created in. Switching workspace does not bring notes with it. To move them to another workspace, see Moving notes between workspaces.
Check you have not been removed from the workspace
Once you are removed from a workspace's members, the notes saved in that workspace are no longer visible to you. The notes themselves remain, so asking an administrator to add you back makes the notes you could see before reappear exactly as they were. Permissions and member management are covered in Workspaces.
The same symptom occurs when a reorganisation or a transfer changes how workspaces are arranged. Where notes remain in a former team's workspace and are no longer visible from where you are now, check with your IT department or with the administrator of your former team.
Check whether that meeting was recorded at all
Where the note for one particular meeting is missing rather than all of them, that meeting may never have been recorded. Pulse simply running in the menu bar or system tray does not start recording or transcription. It starts only when you do one of the following.
- Clicked the notification at the start of a meeting
- Opened an event whose start time had passed from “Coming up” on the home screen
- Clicked “+ New note”
- Left an upcoming event open and reached its start time
If none of these happened, the audio for that meeting was never captured and cannot be recovered afterwards. The conditions for starting and stopping are covered in How transcription works.
Check whether it was deleted
Where you or another member of the same workspace deleted it, it can sometimes be restored for a period. How deletion is handled, and the steps to restore, are in Deleting and restoring notes.
Clear any filters
Where the list is filtered by folder or space, or a search term is still in place, notes that do not match are not shown. Clear the filters, return to showing all notes, and check again. How folders and spaces relate to each other is explained in Spaces and folders.
Are you viewing the list with the right account, in the right workspace, with filters cleared? With those three in place, a note appears in the list as long as it still exists. If it is still not there, either it was never recorded or it has probably been deleted.
Where notes are missing after a company account migration
Where your organisation has moved its account platform from Google Workspace to Microsoft 365, or your email domain has changed, Pulse treats the new account as a different account. Your earlier notes remain in the workspace of the earlier account.
What to do depends on the shape of the migration.
- Where only the sign-in method changes, see Migrating to a Microsoft account.
- Where you have started again as a separate account, you can move them with the steps in Moving notes from another account.
- Where changing the email address covers it, see Account and email address changes.
What happens to notes left in a leaver's account depends on your internal rules and how the workspace is administered. Making it routine to move the notes you need into the workspace before deleting a personal account prevents them becoming unretrievable later.
If none of this resolves it
It may just be that syncing has not caught up, so before getting in touch, sign out and back in, wait a few minutes and check the list again. If it is still not there, contact tharada@the-unchain.com. Including the following helps us investigate faster.
- The email address you sign in with
- The name of the workspace you belong to, and whether its membership changed recently
- The date and time of the meeting whose note is missing (in a form that shows the time zone) and the meeting name
- Whether no notes are visible at all, or only a particular one
- When you last saw that note, and on which screen
- The Pulse app version
