Reading your invoice
What a qualified invoice must state, how pro-rating works, and how to read unused-period adjustments.
A Pulse invoice is made up of the base charge for the number of seats, plus adjustment lines for any change in seat count partway through the billing period. This article explains what each line represents, where the items required of a qualified invoice appear, and how the pro-rating is calculated.
Billing is per workspace and per seat. The number of members in the workspace is the seat count, and the base charge is that seat count multiplied by the plan's unit price. Every amount on the invoice is built up from this.
How the invoice is made up
The seat count multiplied by the plan's unit price appears at the foot of the invoice as the Subscription charge for the next billing period. Where the seat count did not change during the previous billing period, this is the only line on the invoice.
Where the seat count changed partway through the billing period, adjustment lines settling that change are stacked above it. Adjustment lines always appear as a pair.
What is stated for the purposes of a qualified invoice
Pulse invoices are produced so as to contain everything a qualified invoice must state. The six items required by the Consumption Tax Act, and where each appears on the invoice, are as follows.
| # | Item required by law | Where it appears on the invoice |
|---|---|---|
| 1 | The name of the registered invoice issuer and its registration number | UNCHAIN, Inc.'s name in the invoice header, with “Registration number Please contact us” beneath it |
| 2 | The date of the taxable transfer of assets (or, where a period is covered together, that period) | The Service period on the line item (for example, 1 September 2026 – 30 September 2026) |
| 3 | The nature of the assets or services covered by the taxable transfer | The item name on the line, giving the plan name and the seat count (for example, Pulse Team plan subscription (10 seats)) |
| 4 | The tax-exclusive or tax-inclusive total, separated by tax rate, and the rate applied | The Subtotal (excl. tax) in the totals box, with subject to 10% beside it |
| 5 | The consumption tax calculated separately for each tax rate | The Consumption tax (10%) |
| 6 | The name of the business receiving the document | The addressee box on the invoice (for example, XYZ Co., Ltd.) |
A qualified invoice issued by a registered invoice issuer must state the issuer's name including its registration number, the date of the transaction, what the transaction covers, the total separated by tax rate together with the rate applied, the consumption tax separated by tax rate, and the name of the business receiving it. The six items in the table above correspond to this provision.
The standard rate of consumption tax is 7.8%, which together with local consumption tax (22/78ths of the consumption tax) comes to 10%. The reduced rate never applies to Pulse subscription charges, so the invoice shows everything in a single band, “subject to 10%”.
Put UNCHAIN, Inc.'s registered invoice issuer number (T followed by 13 digits) in Please contact us. Where UNCHAIN, Inc. is not registered as an invoice issuer, what is being issued is not a qualified invoice; in that case, delete this section and the registration number.
The labels used on line items
The items shown in the invoice detail are as follows. Not every line appears every time; they appear according to what happened during that billing period.
| Label | What it means |
|---|---|
| Subscription charge | The plan's base charge for the next billing period, with the plan name and seat count. |
| Service period | The period that line covers. Pro-rated lines also show the number of days. |
| Seats added (pro-rated) | The charge for seats added partway through the billing period, with the date added, the number of days and the unit price. |
| Seats removed (pro-rated adjustment) | The reduction for seats removed partway through the billing period. Shown as a negative. |
| Pro-rated charge | An amount apportioned over a period following a plan change or similar. The start date and number of days used for the apportionment are given. |
| Unused period adjustment | The refund of the part of what was prepaid at the previous seat count that corresponds to the unelapsed period. Shown as a negative. |
| Credit balance applied | Credit granted through a referral benefit or similar, applied against the invoice. Shown as a negative. |
| Discount | A coupon or annual discount. The name and the rate or amount are given. |
| Subtotal (excl. tax) | The tax-exclusive total subject to 10%. |
| Consumption tax (10%) | The consumption tax, separated by tax rate. |
| Total (incl. tax) | The amount actually payable. |
| Registration number | UNCHAIN, Inc.'s registered invoice issuer number. |
How pro-rating works
When the seat count changes partway through a billing period, Pulse settles it by refunding what was prepaid and then recalculating the remaining days at the new seat count. That is why adjustment lines come in pairs.
- Unused period adjustment (negative): of the charge taken at the previous seat count, the days from the date of the change to the end of the billing period are refunded. This is the “that configuration is no longer in use, so here are the remaining days back” line.
- Pro-rated charge (positive): for those same remaining days, the charge calculated at the new seat count. This is the “the seat count has changed, so here are the remaining days charged again” line.
Adding the two lines together gives the net charge, which is the charge for the remaining days on the seats added or removed. On an increase the net is positive; on a decrease it is negative (a refund). Days are counted from the day the seat count changed, up to the last day of that billing period.
A worked example
The unit price and amounts used here are made up for the sake of the explanation. For the actual unit price see UNCHAIN, Inc.'s pricing page, and for the amount actually charged see your own invoice.
Suppose the billing period runs for the 30 days from 1 to 30 September 2026, and the Team plan unit price is ¥10,000 per seat per month (excluding tax). You had 3 seats on 1 September and added 2 seats on 16 September. From 16 to 30 September there are 15 days remaining.
| Line item | Calculation | Amount (excl. tax) |
|---|---|---|
| Unused period adjustment (3 seats, 16–30 September, 15 days) | ¥10,000 × 3 seats × 15 days ÷ 30 days | -¥15,000 |
| Pro-rated charge (5 seats, 16–30 September, 15 days) | ¥10,000 × 5 seats × 15 days ÷ 30 days | +¥25,000 |
| Subscription charge (1–31 October, 5 seats) | ¥10,000 × 5 seats | ¥50,000 |
| Subtotal (excl. tax) | ¥60,000 | |
| Consumption tax (10%) | ¥60,000 × 10% | ¥6,000 |
| Total (incl. tax) | ¥66,000 |
The net of the adjustment lines is ¥25,000 − ¥15,000 = ¥10,000, which matches the charge for using the 2 added seats for 15 days — half the billing period.
Why the date ranges differ between lines
Each pair of adjustment lines covers a different length of time because the number of days left until the next renewal differed at the moment of each change. A change early in the billing period leaves more days, so the adjustment is larger; a change close to the last day leaves fewer, so it is smaller. This is the calculation being proportional to the number of days, not a sign that anything is wrong.
One pair of lines per change
Every change to the seat count adds another pair of adjustment lines. In the example below there were four changes within a single billing period (15 September to 14 October), giving eight adjustment lines, plus the Subscription charge line for the next period — nine lines in all.
| Date | What happened | Seats |
|---|---|---|
| 15 September (start of the billing period) | Starts with 2 seats | 2 |
| 27 September | 1 seat added | 2 → 3 |
| 2 October | 1 seat added | 3 → 4 |
| 7 October | 1 seat added | 4 → 5 |
| 13 October | 1 seat added | 5 → 6 |
| 15 October (renewal date) | The next billing period begins with 6 seats | 6 |
A change made on the renewal date itself produces no adjustment line, because there are no remaining days. The new seat count is simply reflected in the Subscription charge for the next billing period.
Adding members one at a time on different days adds a pair of adjustment lines each time. Adding several people together, at a hiring or reorganisation point, keeps it to one change and keeps the invoice shorter.
When a member leaves
Removing a seat works the same way, with the signs reversed. An unused period adjustment (negative) is made for the higher, previous seat count, and a pro-rated charge (positive) for the remaining days at the lower, new seat count. The net is a negative for the remaining days on the seats removed, and is deducted from your next invoice. You are never charged on an ongoing basis for a seat that is not in use.
Removing a member from the workspace does not automatically detach the payment method they registered from the subscription. What to do when the person responsible changes is covered in Plans and payment.
Rounding of consumption tax
Consumption tax is not calculated line by line; it is calculated once per invoice for each tax rate. Every Pulse charge is subject to 10%, so a single rounding is applied to the tax-exclusive total for the whole invoice, and the result is shown as Consumption tax (10%).
Pro-rating can leave fractions of a yen on line item amounts. Where that happens, multiplying each line by 1.1 and adding them up may not match the total shown on the invoice to the yen. Under the National Tax Agency's treatment of qualified invoices, rounding is applied once per tax rate per invoice, so the total stated on the invoice is the correct amount.
Changing the addressee and billing details
To change the addressee on an invoice, register the company name and department under the billing details at Settings > Billing. If you want a registration number or business details on the invoice, register those on the same billing details screen.
What you register takes effect from the next invoice issued. To change the addressee on an invoice already issued, contact tharada@the-unchain.com with the date of the invoice concerned.
Viewing and downloading invoices
Open the billing screen
In the Pulse app, open Settings > Billing. Your current seat count and next renewal date are on this screen too.
Open subscription management
Manage subscription takes you to the payment provider's management screen.
Open the invoice
From the list of past invoices and receipts, open the one you want and download it.
Manage subscription not being shown, with a billing contact's email address in its place, means billing for that workspace is managed by a different administrator. Ask them to send you a copy, or to add you as a billing contact.
If something is not working
| Symptom | What to check |
|---|---|
| The amount is higher than expected | Check whether seats were added during the billing period. The net of the adjustment lines is the pro-rated charge for those additions. |
| There are nine lines and you cannot make sense of them | The pairs of adjustment lines come first, and the bottom line is the base charge for the next period. Match the period and seat count up pair by pair. |
| Adding up the lines misses the total by a yen | Consumption tax is calculated once for the invoice as a whole. The total on the invoice is the correct amount. |
| The addressee still shows the old company name | Changes to billing details take effect from the next invoice issued. For invoices already issued, contact tharada@the-unchain.com. |
| You cannot find the registration number | It is in the invoice header, or below the totals box. If it is not shown, contact tharada@the-unchain.com. |
If anything on your invoice is unclear, contact tharada@the-unchain.com with the issue date of the invoice concerned and your workspace name.
