Account and email address changes

Changing the email address you sign in with, merging accounts, and carrying notes across.

Your email domain has changed because the company was renamed; your address has changed because you moved jobs or teams; you want to bring a personal and a work account together. This article sets out what happens to your Pulse account and notes in situations like these, and which route you can use to move across.

The email address on an existing account cannot be changed directly

In Pulse, you cannot rewrite the email address registered on an account that has already been created. The one exception is a domain change carried out by a Google or Microsoft workspace administrator (see 1 below), where the same account is kept. In every other case, you sign in with the new email address to create a new account, then use the in-app note import to bring your earlier notes across.

Working out which route applies

Situation Route to take Account
The domain or address changes within the same Google or Microsoft workspace Your organisation makes the change; nothing else is needed The same account is kept
You want to move to a different address while you can still access the old one Create an account with the new address and import your notes It becomes a new account
You cannot access the old email address Migration is not possible You start again with a new account

1. A domain change within the same Google or Microsoft workspace

Where your employer's domain changes, or your email address is edited within the same Google or Microsoft workspace (from @example.co.jp to @example.jp, say), nothing special is required.

Note

Pulse identifies accounts using the unique identifier issued by Google or Microsoft, not the text of the email address. So even when your organisation reassigns the address, it is treated as the same account.

  • Your organisation can update the domain or address.
  • You carry on signing in the same way as before (Google or Microsoft).
  • Your past notes and history stay as they are.

In Enterprise workspaces with single sign-on (SSO) configured, the SSO connection settings have to be changed. An administrator should contact tharada@the-unchain.com so the change can be made together with UNCHAIN, Inc..

The auto-join domain does not switch over automatically

A workspace's auto-join domain (the setting that lets people with an address on that domain find and join the workspace) is not updated automatically when the company domain changes. This domain is fixed when the workspace is created, and an administrator cannot rewrite it from the settings screen; all an administrator can do is turn auto-join on or off. If you want employees on the new domain to be able to join the existing workspace, contact tharada@the-unchain.com.

If what you see or your history is not as expected after your organisation makes the change, contact tharada@the-unchain.com as well and we will look into it.

2. Where you can still access the old email address

To change email address, or to bring several accounts together, use the in-app note import. Since there is no feature for renaming an existing account, creating an account with the new address and importing the notes from the earlier account into it is what amounts to “changing your email address”.

  1. Create the new account

Sign in to Pulse with the new email address and create an account.

  2. Start the import

Start a note import from the new account.

  3. Confirm you own the old address

A verification code is sent to the old email address; enter it to confirm you own it.

  4. Wait for the import to finish

Depending on how many notes there are, this can take a while. Wait for it to complete without quitting the app.

Check

Once the import has finished, check that your earlier notes appear in the note list on the new account. If the count does not match, check what carries over in Moving notes from another account.

Which notes can be migrated, how folders and sharing settings are handled, and how long an import takes are all covered in Moving notes from another account. Check what carries over before you start the import.

If you want to move notes between workspaces, that is a move across workspaces rather than across accounts, so use the steps in Moving notes between workspaces instead.

3. Where you cannot access the old email address

Where you can no longer receive mail at the address tied to your earlier account, notes cannot be imported from that account.

Before an import, you have to confirm that the email address is yours to use, and that confirmation is done with a verification code sent to that address. There is no other safe way to confirm ownership, so if you cannot receive the code, the position is this.

  • You cannot complete the in-app import.
  • There is no way to retrieve the notes from the earlier account.
  • You will be starting afresh on the new account.
Act early once you know you are leaving or moving

A company-issued email address usually stops receiving mail after your last day. From the moment it stops, there is no way to retrieve notes from the account on that address. If there are notes you want to carry over to a personal address, complete the steps in Moving notes from another account while you are still employed. Note that the treatment of notes stored in your employer's workspace depends on your company's information-management rules and your employment contract. UNCHAIN, Inc. cannot judge whether moving notes created for work to a personal account is permitted, so always check with your organisation's administrator before taking anything with you. For permissions and member management on the workspace side, see Workspaces.

If you are an administrator and a member is leaving, check before you remove them from the workspace that they have finished exporting or migrating any notes they need. Once they are removed, their account is disabled within the workspace and they lose access even to notes they saved themselves.

Effect on billing

Creating a new account does not automatically cancel a paid plan taken out on the earlier account. The workspace's subscription remains in place, so cancel any subscription you no longer need from Settings > Billing. The steps, and how long you can carry on using the product after cancelling, are covered in About cancellation. To use a paid plan on the new account, you need to take out a new subscription on the new workspace.

Where someone who has left still has a payment method registered, charges continue to that card. For what to do when the person responsible changes, see Plans and payment.

If something is not working

Symptom What to check
You cannot sign in after a domain change Check you are choosing the same sign-in method as before (Google or Microsoft). If you use SSO, ask your administrator to change the settings.
Colleagues on the new domain cannot join the workspace The auto-join domain is not updated automatically. Contact tharada@the-unchain.com.
The import verification code does not arrive Check the spam folder on the old address. If you cannot receive it, the import cannot be completed.
Some notes are missing after the import What carries over is set out in Moving notes from another account. For working out why something is missing, see Notes are missing as well.
You want to switch to a Microsoft account Migrating to a Microsoft account has the steps.

If your situation is not covered above, contact tharada@the-unchain.com with your old email address, your new email address and the workspace name.
