HubSpot integration

Setting up linking and automatic posting of notes to HubSpot deals and contacts.

Connecting HubSpot lets you keep meeting notes against contact, company and deal records. You can send notes one at a time, or send notes in a folder automatically.

Setting up the connection

What you need first
  • the Pulse desktop app (macOS / Windows). Both the connection setup and sending are done from the desktop app
  • a Pulse account signed in with a Google Workspace or Microsoft 365 account. Consumer Gmail and Outlook.com accounts cannot be used
  • the HubSpot account to connect to, and permission to authorise that connection
  1. Open connectors in settings

In Pulse's settings (opened from your avatar at the bottom left), choose “Connectors”. HubSpot is in the list of services you can connect.

  2. Connect the HubSpot account

Click connect on the HubSpot card and a browser opens with HubSpot's authorisation screen. Choose the account to connect and approve it, and the connection is made. Close the browser tab and return to Pulse.

  3. Choose the record type

Under Settings > HubSpot, choose whether a synced meeting is created in HubSpot as a Meeting or as a Note. The default is Meeting. Choosing Meeting where you want it kept as sales activity history, and Note where it is supplementary, fits better with HubSpot's own reporting.

Check
  • Settings > HubSpot shows the connected HubSpot account and the record type
  • a HubSpot item appears at the top right when you open a note

Sending notes one at a time

  1. Open the note you want to send and click HubSpot at the top right.
  2. Choose the contact, company or deal to link it to.
  3. Confirm, and the meeting content is linked to the record you chose.

Sending notes in a folder automatically

Notes added to a particular folder can be saved automatically to the matching contact, company or deal.

  1. Open the folder.
  2. Click the “Integrations” button in the folder header.
  3. Switch the HubSpot item on.
  4. Choose which kind of record to link to (contact, company, deal).

The integration settings opened from the folder header, with the HubSpot toggle and checkboxes for choosing the kind of record to link to.

Once set up, notes added to that folder are added automatically to the HubSpot records matching your criteria.

Past notes are not sent retrospectively

Automatic sending covers only notes added to the folder after you switched the integration on. Notes already in the folder beforehand are not synced. To send past notes, open each one and send it individually with the HubSpot button at the top right.

What is sent to HubSpot is the content of the AI-enhanced note. It contains attendees' names and what was said, so check that the people who can see that record in HubSpot match the people the meeting content may be shared with. How to account for sending to external services as handling of personal data is covered in Integrations overview.

If something is not working

Q. I cannot connect to HubSpot

A. Check that you use the same email address for your Pulse and HubSpot accounts. With different addresses the connection can fail. Also check you are signed in to Pulse with a Google Workspace or Microsoft 365 account.

Q. An integration that was working has suddenly stopped

A. Disconnect and reconnect from Settings > HubSpot. Where the authorisation has expired, this restores it.

Q. I cannot send a meeting to HubSpot

A. You cannot send until the AI-enhanced note has been generated. If it has not been, click the refresh icon beside “Auto” to regenerate it and try again.

Q. The share item is greyed out

A. Check the note's sharing settings. Notes set to “private” cannot be shared. Change it to a shareable setting before sending. How to set it is in Sharing controls.

Q. Notes from a folder are not appearing in HubSpot

A. Check the following in order.

  • Pulse matches HubSpot records using the attendees' email addresses. Where there is no matching record, nothing is created in HubSpot. Check that the attendees' email addresses are registered as contacts or companies in HubSpot.
  • Settings > HubSpot shows the most recent sync status. Where an error has occurred, the details are shown on that screen.
  • Notes already in the folder before the integration was switched on are out of scope. Send those individually.
